TERMS AND DISCLOSURES

Important app information

Equipment profiles and photo-assisted reading

The rating-plate reader is an assisted convenience feature. Glare, blur, label condition, model-number formatting, and similar characters can produce incorrect results. You must review and confirm the brand, model, serial number, unit type, fuel type, capacity, and dates before saving or using the information.

Water-heater age is approximate and is calculated from the installation date when supplied or otherwise from the saved manufacture date. A Hot Water Pros equipment registration is not a manufacturer registration, warranty determination, inspection report, code-compliance finding, or proof of installation.

A successful account save confirms that the equipment record was stored for the account. It does not mean that a manufacturer accepted a warranty registration, that Hot Water Pros or another plumber inspected the equipment, or that an appointment was booked. If a save fails or its result is unknown, refresh the records before relying on it.

Accounts, company workspaces and sharing

Guests may browse public resources and request service. Account features require a verified sign-in. Homeowner and independent-plumber accounts provide different record tools; selecting a role does not grant Hot Water Pros staff access or membership in another company.

Only enter customer information you are authorized to use. A plumber must confirm permission before sending an invitation and choose which equipment to share. When a plumber sends an invitation from the app, Hot Water Pros emails it to the homeowner at the plumber's request, and the plumber confirms that they have the homeowner's permission to contact them by email about it; that confirmation is recorded. An invitation is not proof that an email was received or that the homeowner accepted access. Shared homeowner records are read-only; company-private notes are excluded from that view. Revoking access does not delete the company's original service records.

Use Account → Account details to edit your profile or initiate account deletion. A company owner with another eligible active member must transfer ownership before deleting their personal account; the company records then remain with the new owner. If no eligible active member exists, confirmed account deletion also closes the owned company and deletes its customers, equipment, service history, invitations and shared access. Other members' login accounts are not deleted. Review the confirmation and privacy notice before proceeding. Removing the app or signing out is not account deletion.

Contractor estimates

Independent plumbing companies can share estimates with homeowners through the app. An estimate is that company's proposal, not an offer from Hot Water Pros unless Hot Water Pros is the company shown. Accepting or declining an estimate in the app records your answer for that exact estimate revision and notifies the company; it does not process a payment, book an appointment or by itself create a contract. The company confirms final scope, price, taxes and scheduling with you directly. Hot Water Pros is not a party to agreements between homeowners and independent companies and does not guarantee their work.

ScaleShot referral rewards for plumbing companies

A plumbing company with an app account can share a ScaleShot link with its customers. ScaleShot is sold by Hot Water Pros through its online store, and each purchase is governed by the store's checkout terms; the plumbing company is not the seller. Customers pay the regular store price. The link does not give the customer a discount.

The company earns a reward of $5 for each ScaleShot bag bought through its link or with one of its reward codes, including bags the company buys for itself. Each sale is held for 30 days. It earns a reward only if, after that time, the order is still paid and has not been canceled or refunded. A canceled or refunded sale, or the refunded bags of a partly refunded sale, never earn a reward, including when the refund or cancellation happens after the hold period; if a code was already issued for that value, the amount is deducted from later rewards.

Rewards are provided only as single-use Hot Water Pros store discount codes. A company owner or admin requests a code in the app. Each code is $5 off one ScaleShot bag, works once, on one order, and expires 30 days after it is issued. An unused code, and its value, is lost when it expires. A company can have only one unused code at a time, and the store accepts one code per order. Rewards and codes have no cash value and cannot be exchanged for cash, credit or other products, sold or transferred.

Hot Water Pros may change, suspend or end the program, including the reward amount, hold period and code terms, at any time. Hot Water Pros may withhold or void rewards and codes connected with fraud, manipulated or fake orders, publicly posted codes or other abuse of the program. Order status, refunds and cancellations are determined from the store's records.

Card payments to independent companies

When an independent plumbing company turns on card payments, you can pay that company from the app for an estimate you accepted, a deposit or remaining balance it requests on an estimate, or a paid service plan it offers that renews every month or every year. Payments are processed by Stripe on Stripe's secure pages, which open outside the app. Hot Water Pros does not receive or store your card number. The company that sent the estimate or service plan is the seller: it sets the price, receives the payment and is responsible for its work, receipts, taxes, refunds and payment disputes. Contact that company about a refund or a charge you don't recognize. A payment shows as paid in the app only after Stripe confirms it.

A paid service plan charges your card when you start it and again at each monthly or yearly renewal until you or the company cancels it. You can cancel in the app at any time. Cancelling stops future charges; a plan that is paid up stays active until the end of the period already paid for, and past charges are not refunded automatically. Paid service plan billing is separate from your service plan reminder choices. You must cancel a paid service plan that is still billing before you can delete your account.

Companies: to take card payments, a company owner or admin connects a Stripe account through Stripe's own onboarding, and the company's use of Stripe is governed by the Stripe Connected Account Agreement, which includes the Stripe Services Agreement. Stripe verifies the business and may restrict or close a Stripe account under its terms. Hot Water Pros charges the company a fee of 2% of each card payment, including each paid service plan renewal, taken out of the payment; the customer pays the price the company sets. Stripe also charges its processing fee (2.9% + 30¢ for cards) to the company's Stripe account. The Hot Water Pros fee is not returned when the company refunds a payment or a payment is disputed, and refunds, disputes and dispute fees are handled in, and charged to, the company's Stripe account. The company is responsible for its prices, taxes, refunds and responses to disputes. A company owner whose account deletion would close a company that still bills paid service plans must cancel those plans first.

Contact and reminder consent

Contact information is used to maintain and respond to the Hot Water Pros equipment registration and to provide service-related reminders. Optional recurring text consent is not required to register equipment or purchase service. Message and data rates may apply, and users may reply STOP to opt out of recurring texts.

Maintenance recommendations

The app uses the installation and service history you provide to generate general Hot Water Pros maintenance reminders. On iPhone, tapping “Add reminder” can schedule an optional local notification after you grant permission. The current default is an annual service cycle. Equipment condition, manufacturer instructions, water quality, installation conditions, local code, and prior service may require a different interval. Manufacturer instructions and an onsite professional assessment control when they conflict with a general app recommendation.

“Due,” “overdue,” and replacement-planning notices are service-planning guidance, not a guarantee that equipment is safe, unsafe, defective, or covered by warranty.

Manufacturer warranty information

Hot Water Pros provides convenient links to third-party manufacturer websites. The manufacturer—not Hot Water Pros—determines registration requirements, warranty status, coverage, exclusions, claim approval, and available remedies. Manufacturer pages and links may change without notice.

Trademarks and affiliation

Manufacturer names are used only to help customers locate the appropriate official website. All third-party marks belong to their respective owners. Their inclusion does not imply endorsement, sponsorship, or affiliation.

Pricing, office requests, and scheduling

Published pricing is provided for convenience and does not replace an onsite review or final written estimate. Final scope, pricing, service-area eligibility, and appointment availability are confirmed by Hot Water Pros before work begins.

Submitting the in-app repair or replacement form sends an inquiry to the Hot Water Pros office; it does not create a confirmed appointment. Choosing a preferred date or time is a request only. The separate Housecall Pro self-booking option creates an appointment or estimate request only when the Housecall Pro flow displays a successful booking confirmation. Customers do not need to complete both paths.

Automatic address checks

Service addresses entered in the app are automatically checked with Google's Address Validation service to confirm they are complete and deliverable. Only the street, unit, city, state, ZIP and U.S. country code are sent to Google, not your name, email, phone, photos or notes. A suggested correction is used only if you choose it, and you can always keep your own address. If the check is unavailable, you can continue with the address as entered. A confirmed or corrected address is a convenience, not a guarantee that mail, service or a technician can reach it; review the full service address, including any unit, before sending a request. The privacy notice describes the information involved.

Carefree plans and memberships

The app displays published Carefree prices and benefits and links to the Hot Water Pros website. A membership begins only after the enrollment process confirms covered equipment, service address, recurring authorization, payment, and applicable terms. Viewing a plan or submitting the optional enrollment-help form does not activate a membership.

Plan pricing, eligibility, included services, exclusions, renewal, cancellation, service area, and repair-discount conditions are governed by the final terms shown during enrollment. The app does not collect or store card information.

Videos and educational material

Videos and articles are general homeowner education. They do not replace an onsite diagnosis, manufacturer instructions, applicable codes, utility guidance, or emergency services. Do not perform work beyond your training, authorization, or safe ability.

Independent contractor referrals

Hot Water Pros may refer requests outside its direct service area to independent contractors and may receive a referral or administrative fee. A referral does not make the contractor an employee, agent, partner, or subcontractor of Hot Water Pros. Customers should review the contractor’s license, insurance, pricing, terms, and warranties before authorizing work.

Franchise information requests

The franchise-information form is an expression of interest only. It is not an offer to sell a franchise, a franchise application approval, a reservation of territory, a promise that a franchise program or particular market will become available, or a request for payment. Hot Water Pros makes no earnings claim or financial-performance representation through the app.

Any future franchise offer would be subject to required disclosure documents, applicable federal and state law, written agreements, eligibility review, and any required registration or exemption. Only final written documents authorized by Hot Water Pros LLC may describe an available franchise opportunity.

Hot Water Pros contractor certification interest

The contractor form requests consideration for a developing standards and referral program. Submission does not certify or approve a company, authorize use of the Hot Water Pros name, logo, or certification language, guarantee leads or revenue, reserve a territory, or create a franchise, employment, agency, partnership, joint-venture, or subcontractor relationship.

Any future approval may require verification of licensing, insurance, background, training, workmanship, documentation, customer-service, response-time, warranty, and quality-control standards; execution of written agreements; ongoing monitoring; and compliance with brand-use rules. Hot Water Pros may approve, decline, suspend, or end participation subject to the governing written program documents.

Field technician portal

The protected field portal is restricted to individually authorized Hot Water Pros personnel. Credentials may not be shared. Access may be suspended or revoked at any time, and protected pricing, manuals, forms, and checklists remain confidential company material.

Technicians must verify that a document is the current approved revision before relying on it. Downloaded or previously opened copies may become outdated after a price-book, policy, code, or manual revision.

Emergency conditions

If there is active flooding, gas odor, fire, electrical arcing, carbon-monoxide concern, or another immediate danger, leave the affected area when appropriate and contact the utility or emergency services. Do not rely solely on an app request or maintenance indicator.
